EXHIBITOR’S INFORMATION
This is Exhibitor’s Information, which the organizers send to all exhibitors with current information.

from 2 p.m. to 4 p.m. for general audience
8th September from 10 a.m. to 5 p.m. for general audience
STAND MANTLING AND DISMANTLING SCHEDULE
The Exhibitors who have ordered their stand construction with the organisers can arrange their stands on:
in Olivia Hall – from 05.09.2011
outdoor exhibition area – from 05.09.2011
Exhibitors constructing their own stands can start mantling:
in Olivia Hall – from 04.09.2011 to 05.09.2011
outdoor exhibition area – from 04.09.2011 to 05.09.2011
ATTENTION:
Mantling of exhibits on the 6th September is not possible. All Exhibitors are kindly requested to prepare their stands in a/m days.
The Exhibitor constructing his own stand is kindly asked to present to the organiser till 10th of August an electrical and architectural plan of the stand including technical data, particularly requirements for energy (how many KW).
Please note, that all electrical installations supplying energy to stand must be executed by the Exhibitor, using his own materials under the supervision of the exhibition’s electrical services.
Electricity will be supplied: 6th – 8th September 2011 from 9.30 a.m. till 5.00 p.m.
THE REFRIGERATOR PLUG MUST NOT BE USED FOR ANY OTHER ELECTRICAL DEVICES.
All goods intended for the exhibition should be well marked.
The breakdown of BALTEXPO will begin at 4.30 p.m. on 8th September (30 minutes after the exhibition closes). All Exhibitors must ensure their exhibits and stand construction materials are cleared form the exhibition halls and outdoor by 1.00 p.m. on 9th September.
In order to avoid congestion, we would ask exhibitors to remove only small, valuable items from the site on Thursday evening and advise contractors to dismantle stands on Friday.
In the interests of security, we advise one person to remain on the stands at all time.
ENTRANCE CARDS AND INVITATIONS
1. The Exhibitor receives two free of charge entry cards “EXHIBITOR” for every
10 sq. m ordered. If more entry cards needed, either for his own personnel, please place
an order with Agpol Promotion Ltd.
2. The organisers mail a certain number of invitation cards to the potential visitors in Poland and abroad.
If you intend to mail invitations yourself, please send us a sample copy to be registered at the Central
reception to avoid problems with your guest at the entrance.
3. If you got any addresses of your up to now contacts, please send them to us. We shall add them to our
mailing list and supply companies on the list with invitations.
4. “SERVICE” cards – received by employees participating in mantling and dismantling. This card is valid during
the stand’s mantling and dismantling period. Please order these cards free of charge with Agpol Promotion Ltd.
STAND CONSTRUCTION
The organisers supply construction and stand equipment according to the Exhibitor’s order. The Exhibitors perform the transportation of exhibits to and from the exhibition, as well as the mantling of exhibits by their own means.

Warsaw Exhibition Board S.A. is not enforced to settle any of these matters. The Exhibitor should himself take care of all transport, assembling, dismantling, packing and driving away of the equipment and decoration materials matters.
All goods for the exhibition should be well marked with the exhibition name. Every parcel should be addressed strictly according to the forwarders’ instructions.
The Exhibitors presenting very heave and big exhibits are kindly requested to contact an organiser earlier to fix the date of delivery exhibits to the exhibition grounds.

CAR PARK
A car park will be made available to exhibitors and guests, guarded from 6 September to 8 September 2011 between 8 a.m. and 6 p.m.
Parking spaces are numbered
Price per day of parking - PLN 40.00 (gross)
Price per pass for the duration of the exhibition - PLN 110.00 (gross)

ARRIVAL
Upon arrival to Gdańsk, please go directly to your preliminary booked hotel.
For your entry card, catalogue, exhibitor’s kit etc. please contact Central Reception at the main entrance to Olivia Hall.
All problems you may have, please pass accordingly to the Central Reception staff.
SECURITY AND INSURANCE
The organisers hire guards for 24 hours a day during the period of mantling, dismantling and during the whole fair, but are not responsible for the exhibited goods, equipment and property of any person.
The Exhibitor must himself meet all necessary insurance costs.
CUSTOMS CLEARANCE
Customs clearance of exhibits, exhibition materials and reception products will be run by MULTIMAR, who will inform you of appropriate documents to be mailed by you beforehand.
For customs office and forwarder’s room please ask at the Central Reception.
ORGANISERS CONTACT OFFICE
Organisers’ office and technical management will be situated in front of the main hall.
ADDITIONAL INFORMATION
The storage and keeping of any materials (e.g. empty packages) outside the rented stand is strictly forbidden by the fire fighting services on the whole area of the exhibition. In case this prohibition is disobeyed, the respective services of the exhibition will be compelled to remove the a/m materials and charge the Exhibitor for the respective costs.
